1. Introduction and Agreement
These Terms and Conditions govern all bookings made with African Golf Escapes Pty Ltd (registration number 2025/072573/07), also trading as Escape to South Africa ("we", "us", "our"). By confirming a booking with us, you ("the Client") agree to be bound by these terms in full.
2. Booking and Confirmation
A booking is only confirmed upon receipt of the required deposit payment and written confirmation from us. Verbal or email enquiries alone do not constitute a confirmed booking. Tee times and other arrangements cannot be held without a confirmed deposit. Prices quoted are valid for the period specified on the quotation and are subject to change until a deposit is received.
3. Payment Terms
A 50% non-refundable deposit is required to confirm your booking. The remaining balance is due no later than 30 days prior to the first day of travel. For bookings confirmed within 45 days of travel, full payment is required upon confirmation. Payment may be made by EFT or international bank transfer using the details provided on your invoice. All bank charges and transfer fees are for the client's account.
4. Cancellation Policy
All cancellations must be submitted in writing to hello@africangolfescapes.com. The cancellation date is the date on which written notice is received by African Golf Escapes.
- More than 60 days before travel: Full refund of all payments made, including the deposit. No cancellation fee applies.
- 60 to 46 days before travel: The 50% deposit is forfeited. Any balance paid beyond the deposit is refunded in full.
- 45 to 31 days before travel: The 50% deposit is forfeited, plus 25% of the remaining balance is retained as a cancellation fee.
- 30 to 15 days before travel: The 50% deposit is forfeited, plus 50% of the remaining balance is retained as a cancellation fee.
- 14 days or fewer before travel, or no-show: 100% of the total booking cost is forfeited. No refund applies.
Amendments: Date changes and itinerary amendments are subject to availability and may attract an administration fee of R500 per booking. Amendments requested within 14 days of travel cannot be guaranteed and may be treated as a cancellation and rebook, in which case the cancellation policy above applies.
Third-party supplier penalties: Certain suppliers impose their own cancellation penalties which may exceed the tiers above. African Golf Escapes will advise at the time of cancellation and any non-recoverable third-party costs will be deducted from any applicable refund.
5. Inclusions and Exclusions
All services included in your tour are clearly itemised in your confirmed quotation. Everything not expressly listed is excluded. Exclusions typically include but are not limited to accommodation (unless specified), flights, meals and beverages (unless specified), caddie fees and gratuities, golf equipment rental, travel insurance, visa fees, passport fees, and personal expenses.
6. Itinerary Changes
We reserve the right to make reasonable changes to an itinerary where circumstances beyond our control require it, including changes in golf course availability. Where a golf course becomes unavailable, we will endeavour to substitute a course of equivalent or higher quality at no additional cost. Where a client requests a change, at least 21 days notice is required and changes are subject to availability.
7. Travel Insurance
Travel insurance is strongly recommended. We do not provide travel insurance. We recommend comprehensive cover including trip cancellation, medical expenses, emergency evacuation, and golf equipment. We accept no liability for losses that would have been covered by appropriate insurance.
8. Liability and Indemnity
We act as an agent for third-party service providers including golf clubs, transport operators, and accommodation providers. We are not liable for the acts or omissions of third parties. Our total liability shall not exceed the total amount paid for the booking. Golf is a sport that carries inherent risks and clients participate at their own risk.
9. Passports, Visas and Travel Documents
Clients are solely responsible for obtaining valid travel documents. Passports must be valid for at least 6 months beyond the return date with at least 2 blank pages for South African entry. South African minors require an unabridged birth certificate in addition to a valid passport. See www.dha.gov.za for current requirements.
10. Force Majeure
We are not liable for failures arising from events beyond our reasonable control including acts of God, pandemics, war, government restrictions, natural disasters, or other events making performance impossible or impractical. In such circumstances we will make every reasonable effort to offer alternative arrangements or a credit, but cash refunds cannot be guaranteed where supplier costs have been committed.
11. Complaints
Any problems during travel must be reported to us immediately. Formal written complaints must be submitted within 28 days of the return date to hello@africangolfescapes.com.
12. Privacy
We collect and process personal information in accordance with POPIA, Act 4 of 2013. Please refer to our Privacy Policy at africangolfescapes.com/privacy for full details.
13. Governing Law
These terms are governed by the laws of the Republic of South Africa. Any disputes are subject to the exclusive jurisdiction of the South African courts.
